The hidden cost of running an insurance agency on spreadsheets
The spreadsheet isn't the problem. The problem is everything the spreadsheet can't do by itself.

Almost every agency starts on spreadsheets, and for good reason: they're flexible, familiar and free. The trouble begins when the book grows, the team grows and the spreadsheet quietly becomes the operating system of the business. At that point the cost is real, it just doesn't show up on any invoice.
Four costs you're already paying
- Re-typing time. The same client typed into the carrier portal, HealthSherpa, the spreadsheet and a message. Every copy is time and a chance for error.
- Follow-ups that don't happen. A spreadsheet doesn't remind anyone. Renewals, documents and callbacks depend on memory.
- History that walks out the door. When an agent leaves, their notes, conversations and context leave too.
- Owner dependence. Only one or two people really understand the file, so every question goes through them.
A simple way to put a number on it
You don't need a consultant to estimate the cost. Use your own numbers for one month:

If the total is bigger than the cost of a CRM, the spreadsheet is the expensive option.

What to keep, what to replace
Spreadsheets are still great for one-off analysis. What should move is the daily operation: client records, ownership, tasks, conversations and renewals. Those need rules, reminders and history that a file can't provide.
