WhatsApp and SMS for US insurance agencies: meet clients where they already talk
Your clients already live in their messaging apps. The question is whether those conversations live in your CRM.

For many families in the US, especially Spanish- and Portuguese-speaking households, WhatsApp is where life happens: family groups, work, school and, increasingly, insurance. Agencies that serve these communities know it. The problem is that most of those conversations happen on an agent's personal phone, where the agency can't see, measure or protect them.
What changes when messaging becomes a real channel
- Faster answers: a short message gets a reply in minutes; a voicemail may never be returned.
- Documents on the go: clients send photos of IDs, pay stubs and letters without leaving the conversation.
- Less friction for reminders: renewal, payment and document reminders are read, not ignored.
- Language comfort: clients can write in their own language and at their own pace.
The risks of doing it informally
When WhatsApp lives on personal phones, the agency loses the history when an agent leaves, managers can't see response times, sensitive documents sit in camera rolls and nobody knows whether a client opted in. The channel works, but the operation around it doesn't.
A conversation that isn't on the client record didn't happen, as far as your agency is concerned.

Five rules for structured messaging
- 01Use business numbers connected to your CRM, never personal phones.
- 02Record opt-in and consent for each client and channel; US marketing texts and calls follow consent rules, and WhatsApp requires opt-in.
- 03Assign every conversation to an owner, with a handoff when the owner is out.
- 04Keep templates for common messages in each language you serve.
- 05Let automation handle first replies and reminders, and let people handle advice and decisions.
